Can I Backup all email?

For legal compliance I want to save all inbound corporate email in a separate archive. This is different than an individual user archiving or backing up their email. A simple solution would be to forward every email for each user -- e.g. president@ would have a forward to archive-president@. It would need to be set up for each user. I was hoping for something more elegant.

At the moment I have a separate computer with Outlook which polls the server and downloads new email. It works for the most part but has to be set up for each user.

In a perfect world I would also save outgoing messages.

Hello HIlmar, Thank you for your question on archiving all emails. You can certainly create a forwarder for each email address. You can create as many as you need, for example if you wanted each email address to have an archive address and one main address to collect all of them. The collection of inbound and outbound emails to a certain email address is also possible on VPS and Dedciated servers as well. I am not quite sure if they can be sent to different addresses in this manner or only a single one. Kindest Regards, Scott M

Hello,

In order to save your emails on your computer you would just need to connect to your email account via POP3 and it should download the emails to that client and remove it from the server. Alternatively you can increase your email account quota within cPanel itself.

Hello kharris, Thank you for your question on backing up emails. Within the cPanel File Manager you are able to see the mail folder. This houses all email accounts for all domains on the account. Look under the folder for the specific domain name and then you will see folders for each individual email account. You can compress and download that specific folder and that will be a backup for that individual account. Kindest Regards, Scott M

Hello, The cPanel program itself offers either full or partial backups. The partial allows you to select from either databases or home directory. The Home directory backup creates a backup of all files in the home directory, webfiles and emails included. It does not, however, give the option to back up only the email files or only the web files. That being said, you can always copy and zip up your mail folder and that will back up your emails alone. You would need to do this process yourself since there is no tool to do this specifically. You can then download that zip file to your local machine and use that as a replacement should the need arise. Kindest Regards, Scott M
