You should already have junk mail filtering at the server level for your email accounts. In this article, we're going to show you how you can create deeper email filtering for various incoming messages before they get to your Inbox and after. We will be using the Thunderbird email client for example purposes, but you can use any email client that offers multiple account setups and message filtering.

Declutter Your Inbox with Sender Filters

Before we even get into your email client. You should consider how you can begin filtering your email before messages have been sent.

If you're receiving a lot of email from different people or organizations and for various reasons, it can be very helpful to have sender filters. This involves creating multiple email accounts that you use for very specific purposes.

The idea behind sender filters is that you can prioritize when you check each account. For example, if you have a personal inbox, you can check it every day. If you have an inbox only designated for non-critical updates about goods and services, you can check it every few days.

Your InMotion Hosting account lets you create multiple email accounts. Use this to your advantage and create separate accounts that will help you organize your incoming messages.

The Personal Inbox

For example, if you have emails coming in that are personal in nature, you should create a personal inbox only for those messages. And this address should only be given to people from which you would like to receive personal messages.

A Catch-All Idea Box

If you want a special location for business opportunities or project ideas, create a new email account titled something like ideas@example.com. Imagine you just met someone at a business conference and they've expressed interest in contacting you about a project, but you don't want to give them your personal email address. This is a perfect opportunity to use your catch-all idea box.

Now, you can check your idea box whenever you feel it's appropriate, and these messages will not be cluttering your personal inbox.

Other Services and Contacts

We all need to sign up for various services these days. Whether it's a food truck emailing you a receipt or a Yoga studio you visited a few months ago. Everyone is trying to get you on their email list. If you would like to receive these messages but don't want them cluttering up your important inboxes, create an email account titled something like services@example.com.

Thunderbird Message Filters

Whether or not you've decided to use sender filters, you can take advantage of Thunderbird's Message Filters within the client itself.

Why use message filters?

If you have only email account or several, you can create folders in which you filter specific messages based on parameters that you set. This means if you have a contact named John, you can filter all "John" messages into a John folder.

First, you will need to create the folders.

How to Create Email Folders

You can create folders on your server or in your Local Folders. All you need to do is right-click either your email account or your Local Folders section and choose New Folder.

How to Add Filters

Now that you have created folders to capture various emails, we will creat a filter and apply it to the email account.

  1. Open your Thunderbird email client
  2. Select Message Filters under Tools
  3. Select the appropriate email account for Filters for:
  4. Click New
  5. Name the filter
  6. Check and fill in the necessary parameters

That's all you need to do. Now the the filter will run based on your parameters.
