You can set up Outlook 2010 to receive and send email hosted at InMotion Hosting. If you’re need setup information for a different version of Outlook, click here.

Setup Guide

  1. First, open Outlook 2010 on your computer. Our first step is to add a new email account.
  2. Click File, and then Add Account.
  3. On the New Account screen, click the “Manually configure server settings” radio button and click Next
  4. Select “Internet E-Mail” on the next screen and click Next.
  5. Use the information below to help fill in the settings for your new email account.
    User Information
    Your NameInsert your full name here. This name will appear on all your sent email.
    Email AddressPut in your full email address, for example [email protected]
    Server Information
    Account TypeSelect POP3 if you want the emails to be downloaded to Outlook. Select IMAP if you want the emails to remain on your hosting server.
    Incoming Mail ServerIf your domain is pointed to InMotion the incoming mail server is mail.example.com.
    Outgoing Mail ServerThis will be the same as your Incoming Mail Server, mail.example.com.
    Login Information
    User NameThis will be your full email address. For example, [email protected]
    PasswordThis is the password for the email account you listed above, and not the password for your cPanel.
    Outgoing Server TabNext click on the More Settings… button and make the following modifications:

    Outgoing Server Tab: On the outgoing Server Tab, make sure that “My outgoing server requires authentication” is checked, as well as “Use same settings as my incoming mail server

    Advanced TabBy default you do not need to change anything here, however if you are having trouble sending email then you can change the port settings here.
  6. Click OK to get back to the Account Settings screen, and then click on Next.Congratulations, you have added your email account to Outlook 2010!

    1. I would start with trying to subscribe to that folder in Outlook and running whatever function Outlook uses to update the folder manually.

    I´m using 2016 microsoft outlook and I am getting spam notification anytime when I try to send email a new person or a some users @chableresort.com. These are not spam messages.

  4. As I was organizing my outlook folders on my laptop. Some error happened. Now I am getting following error in outlook when I click on some of the folders. 

    Cannot display the folder. The folder cannot contain items. This is most likely a limitation of your IMAP server.

  5. I am using 2010 Outlook and having an issue with my email. When I try to setup my account in Outlook and test the settings I get error message “The requested operation failed”. When I test account settings I get …..”the server responded: 530 authentication required”.

    I am able to send and recieve email thru my email service provider.

    1. It looks like the username and/or password may be incorrect for the server. I advise going through the email settings again to make sure those values are correct.

    I’m getting occasional emails today. I think the issue was with yahoo server, and they resolved it.. 

  7. I am not getting email sent to this address, but I can sent emails out from this account. but I’m not sure whether addressees are receiving them or not. I had send a Test Email to my alternate email address (gmail.com) it is recieved there. When I tried to send a test message from this account to itself message shows as gone in sent box, but not recieved in inbox, no error / failure message. I tried to sent a test message to this address from my gmail account it was failed, giving this message “

    Any solutions

    1. I recommend checking the MX records for your domain are setup correctly. When I perform a WHOIS lookup on your domain, it is pointed to Yahoo nameservers. Ensure they have valid DNS entries setup there.

  8. hi there, i am facing issues when i mapped an email address to my outlook, i got another tab after syncing it saying sync issues 1. i sent an email to the email address i had synced and it hasnt shown p. Help please

  9. I was attempting to organie the folders I had created….I thought I could just drag & drop a folder to put it in a different line up in the navagation pane but now it is not showing anywhere. I have used the search button with the name of the folder but nothing comes up. 

    Help …. this had important documents in it!

      In order to synchronize changes on the email server with your email client, the folder you’re trying to keep the same (the SENT folder) must be subscribed. You can see how to subscribe folders in Outlook 2010 in this tutorial.

    Here is another person’s solution to the “IMAP server closed connection” error. 

    Not sure if it works, but it is another option to try. 

    I just solved the issue for myself.  It looks like outlook has issues unless the account is set up to only download headers.  Here’s what I did:

    Go to File > Options
    Select ‘Advanced’ from the tabs on the left
    Click the ‘Send/Receive…’ button
    Highlight ‘All Accounts’ (or whatever group contains your gmail account) and click ‘Edit…’
    Select the account from the list on the left
    Under ‘Receive mail items’, select ‘Download headers for subscribed folders’ (or, use the ‘custom behavior’ option and make sure to only download headers)
    Click ‘OK’, ‘Close’, ‘OK’

    Send/Receive and you should be set.  Hopefully this helps…

    I have been getting this error message using Outlook 2010 on one user account ever since I changed from POP to IMAP.

    IMAP4rev1 Server logging out 

    Protocol:              IMAP  

    Server: imap.mail.yahoo.com  

    Port:      993

    Error Code:         0x800CCCDD    

    The post below from 19 OCT 2013 by Richard Laugton of Milton Ontario was useful.  In my case, I could not delete ALL ACCOUNTS in the SEND\RECEIVE GROUPS so I just un-checked the box for `Include the selected account in this group’ to only have the Rogers account in that group. Then I added another group for the other email account and un-checked the box for the misbehaving email account.  When you add a group it is called NEW SEND\RECEIVE. I also changed the automatic update for one of the emails accounts to 20 minutes but I did not check off the automatic updates for the email account that was causing the problem.

    For me the frequency of the  0x800CCCDD IMAP Server disconnect error has reduced, but I still get it from time to time. It may not be you. It could be your ISP has a flakey server or one of your mobile device IMAP settings may have a POP and IMAP configuration that will conflict.

    Anyway, give this a try.

    I had tried everything and then I found a reference to the issue that IMAP is always LIVE and POP is not, so you need to separate your IMAP and POP accounts on the computer – the same problem does not happen on my phone. I have WINDOWS 8 on my computer and WINDOWS 7 on my phone. I am using MICROSOFT OFFICE 2010 with OUTLOOK.
     
    Go to the main SEND / RECEIVE tab in OUTLOOK, the one between HOME and FOLDER. At the bottom of that drop-down menu you will see DEFINE SEND RECEIVE GROUPS. If you are like me you had them all in one group, so I made two NEW groups with these names for future reference:
     
    1. IMAP Servers no AUTO Send /Receive

    Now you have to click the EDIT button in the SEND / RECEIVE GROUPS and for the IMAP server group make sure that the option for “automatic send/receive” is NOT checked. You can leave it checked in the “send/received (F9)”. Next go to the POP group and click the box for “Schedule an automatic send/receive every _ minutes”.
     
    Next go to each of the IMAP and POP groups and click the EDIT button, in the same Send / Receive Groups menu box that you have been using. A new box opens which lists all your accounts on the left hand side. In the IMAP group include only your IMAP accounts and in POP only your POP groups. In may example my POP group includes my accounts for YAHOO, HOTMAIL and SYMPATICO (Bell in Canada). I also included my account that I had recently made for my “Microsoft Mail Server” which is the HOTMAIL account for consolidating all my CONTACTS between my Lap Top and Phone (another topic – I can detail that as well for those interested).
     
    So far this is working without a hitch. You can still use your  F9 button to do a manual send/receive in all groups or you can use the drop down menu and send/receive in just IMAP or POP. The “live” IMAP downloaded as it needed and the POP accounts downloaded at the time interval I set.

  12. I have set up my email with Outlook.com and I tested with my gmail account to check if it’s working properly, from the email in outlook, I sent an email to my gmail account and received the email but when i reply it gives me the following error message

     

    Google tried to deliver your message, but it was rejected by the server for the recipient domain__

    The error that the other server returned was:
    550-The mail server could not deliver mail to (email address)
    550-The account or domain may not exist, they may be blacklisted, or missing
    550 the proper dns entries.
     
    what could be the problem? I used the same credentials as in the cpanel

    1. If that message was received by your gmail account, it may mean that the specific server the email was sent from is blacklisted.

    As I mentioned to Scott, Outlook Today does not handle IMAP settings, only POP settings. I found a site which may be of interest to anyone trying to change from POP to IMAP settings, thinking that Outlook Today will function the same way as before. It doesn’t! The Personal .pst Folder basically keeps the info for your contacts, tasks, calendar, etc.  I wish I had read this information before I started.

    I think my problem is that I am now trying to use an IMAP Account setting for my email instead of a POP Account setting. Is it true that the Outlook Today .pst file cannot handle the IMAP setting for an email account, only the POP settings? This would explain why no messages show up in the Outlook Today INBOX even when I set the INBOX folder to the IMAP Account INBOX folder.  I did notice that when I save a draft email composed in the IMAP Account, it is saved in the Outlook Today Drafts folder. This is why I thought they disappeared. When I send the draft however, it then shows up in my IMAP Account Sent Folder.  Why does Outlook do that and not allow my email to show up in the INBOX and SENT Folders only the DRAFTS folder?

      Sorry for the problem that you’re having with Outlook. Honestly, we have many users of Outlook on our servers, and if there are problems with synchronization, it’s either a setting issue, or a configuration issue with the subscription of folders within Outlook. If the email settings connect to the server, then the problem is specific to the Microsoft client. This may require Microsoft support review the issue.

My problem is that, I think my connection between the office outlook and webmail server (inmotionhosting) is always dropping or cannot connect properly to the webmail server.

      You may want to try a client such as Thunderbird as a test to see if it behaves in the same way. This can help determine whether it is the Outlook client itself.

  16. I follow the steps in how to configure the ms outlook 2010 for my email. But after the installation and setup of the outlook. I always encounter this error in Synchronizing subscribed folders. I solve the issue regarding this. But my connection from my outlook to the webmail server is always disconnecting. And causing me a workoffline or not responding.

    Kindly help me with this issue.

    I noted that when you set up the IMAP Outlook Account called Brad@ etc. you only had two folders when finished: Inbox and Search Folders.   The Outlook Data File Account above the brad account on the video is probably the initial POP account. It has Inbox, Drafts, Sent, Deleted, RSS Feed, Junk email, Outbox, etc.   How do you set up these folders for the IMAP Account so that drafts, sent, deleted, etc. go into these folders like they do for the POP account? For example, my sent emails from the IMAP account go into the Sent folder of the Outlook Data File account. If I save a draft email, I can`t find the folder to retrieve it.

      The files you mention in the video are part of the Outlook Data file. This is local on your machine and has no bearing on an email account’s POP3 or IMAP status. You can learn more about that here.

    Due to my hard disks crash recently, I replaced a new one and started configuring Outlook2010 on Win 8.1 as per the I/O Servers of our Company.  It is not at all working.. Earlier, my network engg had installed some Micfosoft Patch 64 bit.. Kindly suggest me what it is ????

      Sorry to hear that you’re having problems with the SMTP settings. However, if you’re trying to connect to Microsoft Outlook’s SMTP settings and you’re getting errors, then you need to speak either with your ISP (Internet Service Provider) or Microsoft’s support. We are neither, and we cannot troubleshoot why the SMTP server settings would not be working between your computer and the Microsoft mail server. If you were connecting to our mail servers, then we could troubleshoot the issue.

      My apologies that I can’t help you directly, but I hope you’re able to find assistance through your ISP or Microsoft to quickly resolve the issue.

  20. Same email address, I’m simply switching servers. I’ve gone through the process of setting up a new profile on my desktop outlook and have plugged in the server info from my office365 online settings and when I test the settings it can complete the connection with the incoming server but it times out when waiting for the response from the outgoing server. I’ve double checked to make sure I typed and clicked all the right things during setup.

  21. My Outlook used to open the first email when opened it. Somehow it changed to where I have to doublle click on the email to open. How do I return it to the pre-opened setup?

We’re not sure of your exact version of Outlook, but you should be able to find the option in Outlook for Message Handling (generally under Tools>Options>Preferences>Email options) and then you can select the behavior of how Outlook handles the email. If the behavior has been changed in the software, you will need to consult with Microsoft support for further assistance.

      Sorry to hear that you’re having problems with the setup of the Office365 client. You have not given us much information about your account other than to say that you’re “switching from Windstream Hosting to Office365. ” Unfortunately, that is still vague, as I’m not sure if you have an account with Microsoft or if you’re trying to configure a different email client (a newer version of Microsoft’s software) to your current email host.
      If your email host has become Microsoft, then you should refer to their support services and documentation. Check out this article about setting accounts for Office 365.

      If you are simply using Office 365 (instead of your Windstream account’s software) to access your email, then, you will need to know your email settings and properly configure the incoming and outgoing settings so that it properly connects to the mail server. The same steps may differ slightly from version to version, but the same setting are required for the email client to connect to the mail server . If you recently changed the URL for your website and email, then you may be going through DNS propagation where the URL is still changing to the new address.

  22. I am having trouble getting my outlook switched over from windstream hosting to office365. I went through all the steps to add the account and when I click test/next it says it is able to log to the incoming server but it times out with an error on sending the test message…

      Sorry you’re having problems with connecting to the mail server. We do need more information from you, though. What settings did you use? Connection issues with the mail server are the result of incorrect email server settings 99.9% of the time. You can find your settings here.

      If you are using the correct settings and still require more assistance, then please provide us your domain name for your account (if you are an InMotion customer).

  24. Hello I need some help on the office computer we run Outlook 2010 i also want to run this on my laptop and accses the same e-mails is this possiable if so how?

      Thank you for your question. Yes, it is possible to access the same emails on different devices.

      It is recommended to set them all up with the IMAP settings. This leaves the emails on the server by default, and allows your accounts to access the same emails.

      Your question is very vague. Outlook is a program that connects to mail servers once it starts up. If the program is not starting up, that would not have anything to do with your email servers. Are you having trouble getting it to activate at all? Or are you having trouble getting it to connect to an email account on a hosting server?

      If you mean that Outlook is trying to connect to an email account, you will use the password for that email account. If it is incorrect, you will need to change the settings in Outlook where the password is entered. Assuming Outlook 2010, you can use this article to find your settings.

    Looks like I stumbled on to the solution!!! All had to do with Send/Receive Groups. When I fiddled around with that all the missing email showed up.

    • Suddenly I am unable to receive on Outlook (2010). Incoming mail is there on Outlook.com; Windows Live Mail; my ISP’s Web Mail site but nothing on Outlook. Don’t even get a progress bar when clicking “Send & Receive”. Appears to do nothing at all. I’m not aware of changing any settings

      Thank you for your question. I would first try restarting Outlook, just to make sure it has not just crashed, or is having a software issue.

      Next, check your outlook settings, to make sure they are correct. I have seen Outlook drop or change settings randomly.

      If you are using your domain for the mail server settings (such as mail.example.com), make sure the domain has not expired. You can view expiration dates in the Whois information.

      If everything there looks good, performing a Ping/Tracert to your mailservers, can help narrow down where your connection is being delayed.

      You can also try communicating with your mailserver via TELNET.

      If you are still experiencing issues after checking all that, I recommend contacting whoever is hosting your email, and having them review the logs in real-time, while you are attempting to connect.
