Ronnie thanks for the suggestions, but the account is set up as an IMAP account.  Apparently, I send too many emails from the account.  To date this month I've sent 363 which I prefer to keep in the sent email folder so I can refer back to them.  Junk, trash and outbox together have less than 50 emails in them.  I'm trying to investigate the cost for more storage but if you have any other suggestions I'm happy to consider them.

If you're using IMAP, the actual solution may be much easier. I just did not realize it because the IMAP/POP3 issue is so common that I overlooked it.

Try going into cPanel and changing that email address's maximum storage capacity, or just setting it to unlimited. It's possible that the email account just has an unusually low maximum capacity set on it, and as long as your hosting account is in no danger of running out of space and you're the account administrator, it's easy to just allocate more storage space to that particular address. Hope that works!

Hi Robin, it sounds like you have your email client configured as POP3, when what you wanted was IMAP. We have a guide to switching the accounts here, but please be aware that before you do, this will sync up the two accounts so you may want to save, back-up, or change some things first to avoid losing something important.

Here is the distinction: POP3 downloads messages to your mail client, while keeping them on the server. IMAP syncs up what is in your mail client (Outlook) and on the server.

If you have a POP3 connection, which sounds like the case, deleting or archiving mail in Outlook doesn't actually delete anything on the server. If you've been using POP3 the entire time, every message you ever received is still on the server, even if it isn't in Outlook!

I'd suggest logging in to Webmail to see if this is the case, then either clear out some space on the server or change your connection to IMAP, then clear out space on the server using Outlook.

I utilize Archive in Outlook, but InMotion is saying my mailbox is almost full and there is less than a month of emails on the server (sent emails).  I invariable have to refer to sent emails so like to have them show up in my sent folder on Outlook for at least 60 days.  I was hoping there might be a way to remove them from the InMotion server but leave them visible on Outlook.

You can try creating an archive and moving those messages into the Outlook archive.  Within Outlook goto File --> Cleanup Tools (Mailbox Cleanup) --> Archive...  In the Archive dialog you can choose folders and date ranges to archive.  Hope this helps.
