By the end of this guide you will have a new team user logged in to cPanel under their own username. Their role will limit exactly what they can touch.

Which Plans Include cPanel Manage Team

cPanel Manage Team ships on every InMotion Hosting Shared Hosting plan. On VPS Hosting, it is available with a Premier tier cPanel license (100 accounts or more) on a server running cPanel version 130 or later. Dedicated Server plans can also use it as long as the server runs cPanel version 130 or later.

If the Manage Team icon does not appear under Preferences in your cPanel account, your license tier or cPanel version does not support the feature yet. Reseller sub-accounts and other plan types should contact InMotion Hosting Support to confirm availability before assuming the feature is missing.

Note: InMotion Hosting enables Manage Team on every Shared Hosting server. On a VPS or Dedicated Server with a Premier license, you control it yourself in WebHost Manager (WHM): if Manage Team is missing from cPanel, open WHM » Home » Packages » Feature Manager and enable it in the feature list assigned to the account. cPanel makes the feature available only with Premier, Autoscale, and development licenses, so it cannot be enabled on lower license tiers.

What a Team User Can Do

A team owner is your cPanel account. A team user is a separate login that lives inside that account. Team users without a role can log in, change their own password and contact information, and use whatever services you enable for them. There is no limit on how many role-less team users you create.

Team users with a role get access to specific groups of cPanel interfaces. By default you can assign a role to seven team users, and a server administrator can set that maximum lower. A suspended team user who holds a role still counts against the maximum, but a deleted team user does not. cPanel offers four roles. The exact interfaces each one opens depend on the features enabled for your plan, so a few items below may not appear on every InMotion Hosting account:

Administrator: every privilege the other three roles have, and access to every cPanel interface except Calendars and Contacts Configuration, Calendars and Contacts Sharing, Calendars and Contacts Management, User Manager, and Manage Team itself.

Database: Backup, Backup Wizard, phpMyAdmin, Manage My Databases, Database Wizard, Remote Database Access, PHP PEAR Packages, MultiPHP Manager, and MultiPHP INI Editor.

Email: every Email interface except Global Email Filters and Email Filters, plus Zone Editor, but no access to phpMyAdmin.

Web: Backup, Backup Wizard, WP Toolkit, Sitejet Builder, Redirects, Dynamic DNS, Bandwidth, Raw Access, Awstats, Analog Stats, Webalizer, PHP PEAR Packages, MultiPHP Manager, and MultiPHP INI Editor, but no access to phpMyAdmin.

A team user can hold more than one role at the same time. Beyond roles, you decide separately whether each team user gets Email or File Transfer Protocol (FTP) access, plus Web Disk on servers that offer it. A developer can hold the Web role, for example, and still need FTP turned on before they can move files.

How to Create a Team User in cPanel

Creating a team user takes a few minutes. Have the new user’s email address ready; cPanel uses it to send their activation message.

Log in to cPanel. See How to Log into cPanel if you need help.

In the Preferences section, click Manage Team. Their login is ready as soon as they open that message and, if you chose that option, set their password.

How Team Users Log In

A team user signs in to cPanel with their own credentials, not yours. Their username is always the name you assigned followed by your account’s primary domain, in the
<username>@<primary-domain>
format. cPanel then shows them only the interfaces their roles and enabled services allow.

Team users cannot use Secure File Transfer Protocol (SFTP); cPanel gives them only the standard FTP service you enable for their account. Team users also cannot use email services or edit Domain Name System (DNS) records for temporary domains, no matter which roles they hold. Replacing the temporary domain with a registered domain lifts that restriction.

Edit, Suspend, or Delete a Team User

Every team user you create appears in a table on the Manage Team page, with columns for Username, Roles, Last Login Date, Services, and Actions. A counter above the table shows how many of the seven role slots are in use, and the View Audit Log link shows a history of team user activity. From the Actions column you can:

Click Edit User to change the password settings, roles, or services, then click Save. Changing the expiration date uses its own Set Expire Date button, which can also notify the team user by email.

Click Suspend to block a team user from logging in without deleting the account, or Unsuspend to restore access. A suspended team user cannot reach anything in cPanel, and their password cannot be changed while they are suspended.

Click Delete, then confirm in the window that appears, to remove a team user permanently. This action cannot be undone.

cPanel also creates a virtual MySQL user account for each team user, named in the
team-owner_team-user
format. If team owner
jane
creates team user
john
, the MySQL user is
jane_john
. That account follows the team user’s status: deleting, suspending, or reinstating the team user does the same to the MySQL user, so you do not have to track it separately.

Troubleshooting

Manage Team does not appear under Preferences

Your plan’s cPanel license tier or cPanel version does not support Manage Team, or the feature is switched off in the account’s feature list. Check your plan and cPanel version against the requirements described earlier in this guide, then contact InMotion Hosting Support if you believe your account qualifies.

The Roles menu will not let you save a role

Assigning a role requires the checkbox labeled I have read and understood the security risk warning. Select it, choose the role again, and click Create or Save.

A team user cannot log in

Open the Manage Team page and look for the Suspended warning next to the team user’s name in the Username column. If it is there, click Unsuspend in the Actions column to restore access. If the account is active, confirm the team user is entering their full username in the
<username>@<primary-domain>
format.

Security Tips

Grant the fewest roles and services a team user needs to do their job. A developer who only touches files and databases does not need the Email role.

Plain FTP sends usernames, passwords, and file data across the network without encryption unless the client connects with FTPS. Only enable it for a team user who genuinely needs direct file access, ask them to use FTPS, and turn it off, or delete the team user, as soon as that work is done.

Suspend or delete a team user as soon as their work ends, rather than leaving an unused login active.

Never share your Account Management Panel (AMP) login at https://secure1.inmotionhosting.com/amp with a team user. A team user account exists only inside your cPanel account, so keep billing and hosting account management in AMP to yourself.

Conclusion

cPanel Manage Team means you no longer have to hand out your main password to bring a developer or teammate onto your hosting account. Create a team user, assign only the role and services they need, and revoke access the moment the work is done. If you are setting up a developer for the first time, read Giving Your Developer Access to Your Account next.
