Email error: "This message is no longer available on the server"

I have recently (a month or so) started getting messages from the system administrator with the message

"This message is no longer available on the server."

I get hundreds of them.

I use IMAP with Outlook 2011 for the Mac ver 14.2.5

Any ideas what this is?

Please post what was the solution for this problem. We have been having the same issue for a long time. When older emails are deleted from my IMAP Outlook 2011 for Mac I get many, many of these messages: "This message is no longer available on the server."

Thank you in advance for posting the solution for this for us and others.

Sorry for the trouble with your email. You may have an issue with file permissions on the server, or there may be a setting in your Mac Mail causing this. Its difficult to determine why because we don't have the information we need to diagnose this.

In order for us to check this we will need the email address you are using and the account information. If you get the email error "This message is no longer available on the server" it typically means that a message header that your mail client grabbed via IMAP on a previous connection, no longer is linking to a full message on the server.

This can usually happen if you're also connecting to the same email account from multiple devices, especially if you have one of those accounts setup as a POP3 connection with the default option to remove message from the server after retrieving them.

You could also be having this error with multiple IMAP devices, if you've deleted a certain message from one device, and the others have not synced this change yet.

You can attempt to login to your email account via webmail to see your messages live on the server. If you're seeing other message in your Mac mail client, that are not seen from webmail, then these would more than likely be causing this error. If you remove them from your local mail client, the error should go away.

If that fails, you might also think about re-creating your email account in your mail client, so that it begins synchronizing from the server fresh again.

Hello. Having a similar problem for a while now. This happens when i delete messages but also happens when I file into an IMAP folder. I do connect from multiple devices but they're typically not all on at the same time.

Hello clearinc,

If one IMAP client has already downloaded the headers for messages in your Inbox, and your other IMAP client deletes or moves the message from the Inbox this can cause these problems.

This error usually happens when you have your email client syncing options setup on the particular folder having the issue to Headers Only.

If you attempt to select a different IMAP folder, and then select the one having the issue does it persist?

In Outlook if you right-click on the folder having the issue and click on Properties and then navigate to the Local File tab, if you click on Delete, this should remove your mail client's message list, removing all of the messages.

Then if you navigate to a different IMAP folder, and back to the one having the issues, it should force a resync of the message list from the server and only download the messages that have been deleted or moved to another folder by your other mail client.
